Terms of Service

These terms are an agreement between you and Retrofys (“Retrofys”, “we”, “us”), who operate the website at retrofys.com and the service on it. By using Retrofys you agree to them. If you do not agree, please do not use the service.

1. What Retrofys is

Retrofys is a web application for running team retrospectives, planning poker sessions and sprint award ceremonies. An organizer signs in with a Google account and creates a room. Other people join that room from a link, with a name or anonymously, and do not need an account.

2. Your account

• Organizers sign in with Google. You must be allowed to use that Google account, and you are responsible for what happens under it.
• You must be old enough to enter a contract where you live, and at least 16. Retrofys is a workplace tool and is not directed at children.
• Keep your sign-in secure. Tell us at support@retrofys.com if you believe somebody else has used your account.

3. Sharing a room

Anybody who has a room's link can join it, up to the seat limit, and can see and add content in that room. Share links only with people who should see the room. An organizer can remove somebody from a room, which frees their seat, and can delete the room entirely.

4. Your content

Cards, stories, estimates, award results and anything else you or your team put into Retrofys stay yours. You give us permission to store and display that content for the purpose of running the service for you — nothing more. We do not sell it, and we do not use it to train models.

You are responsible for what is written in your rooms, including making sure you may share it and that it does not break the law or somebody else's rights.

5. Acceptable use

Do not use Retrofys to:

• break the law, or infringe anybody's rights;
• post malware, or content that is harassing, hateful or unlawful;
• attack or probe the service, other users, or the systems it runs on, or work around its limits or access controls;
• resell or rent the service without our written agreement.

We may suspend or remove access, or a room, if this clause is broken.

6. Plans, payment and limits

Retrofys has a free plan and paid plans. Each plan sets how many people may join one room, how many retro boards are kept, and how many planning poker reveals and award ceremonies an organizer may run in a calendar month. The current limits are shown on your Plan & billing page.

Only the organizer pays. People who join a room from a link never need an account or a plan.

Going over a limit never deletes anything. It stops the next new board, reveal or ceremony; everything already made stays, and returns to normal use when the plan changes.

Payments are handled by Polar (Polar Software Inc.) as merchant of record. Polar sells the subscription to you, takes payment and handles tax; their terms apply to the payment itself. Subscriptions renew monthly until cancelled, and you can cancel any time from the billing portal — your plan then runs to the end of the period you have paid for.

Refunds. Write to support@retrofys.com within 14 days of a charge and we will refund it. A refund returns the account to the free plan.

We may change prices or what a plan includes. Existing subscribers are told at least 30 days before a change affects what they pay, and can cancel before it takes effect.

7. Service availability

Retrofys is provided “as is” and “as available”. We work to keep it up, but we do not promise that it will be uninterrupted or error free, and maintenance or failures may make it unavailable. Some things are deliberately temporary — for example planning poker votes and award votes live only in the server's memory until the round or ceremony ends, so a restart at that moment means voting again.

8. Keeping your own copy

Export what matters to you. A retro board can be exported as Markdown at any time. We are not liable for content lost through your own deletions, a lapsed account, or the temporary data described above.

9. Privacy

Our Privacy Policy explains what we collect and why. It forms part of these terms.

10. Ending it

You may stop using Retrofys at any time and delete your boards, sessions and ceremonies from within the app. We may suspend or end access if these terms are broken, or if we stop offering the service — in which case we will give reasonable notice where we can.

11. Liability

To the fullest extent the law allows, Retrofys is not liable for indirect or consequential loss, lost profits, lost business, or lost or corrupted data arising from your use of the service. Where liability cannot be excluded, it is limited to the greater of the amount you paid us in the twelve months before the claim, or INR 1,000. Nothing in these terms excludes liability that cannot lawfully be excluded.

12. Changes to these terms

We may update these terms. The date at the top changes when we do, and significant changes will be highlighted in the app. Continuing to use Retrofys after a change means you accept the updated terms.

13. Governing law

These terms are governed by the laws of India, and the courts of India have jurisdiction over any dispute arising from them.
